1. Introduction

This Privacy Policy describes how Utsubo Co., Ltd. (Utsubo株式会社) ("Company", "we", "us", or "our") collects, uses, shares, and protects personal information when you use the WP Pro Converter marketing site, dashboard, and conversion service (collectively, the "Service"). By using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with this policy, please do not use the Service.

2. Information We Collect

We collect the following categories of information in order to operate the Service:

• Account information. When you create a dashboard account, contact us, or sign up for updates, we collect identifiers such as your name, email address, and any account credentials you provide.
• Submitted URLs and conversion inputs. When you place an order, we collect the website URLs you submit, any ZIP archives you upload, and metadata about the source site needed to perform the conversion (page count, structure, language, etc.).
• Billing information. Payments are processed by Stripe. We do not store full payment card numbers on our servers; we receive transaction metadata (amount, currency, last-four digits, billing country, invoice identifiers) needed to fulfill your order and meet our tax and accounting obligations.
• Communications. When you contact us through the contact form or by email at support@wpproconverter.com, we retain the message contents and any attachments so we can respond and follow up.
• Automatically collected data. When you visit the Service, we and our analytics providers automatically collect technical information such as your IP address, browser type and version, device characteristics, operating system, referring URL, pages visited, time spent on pages, and similar telemetry.
• Cookies and similar technologies. We use first-party and third-party cookies for essential functionality (authentication, session state), analytics (Google Analytics 4 and Google Tag Manager), and abuse prevention (Google reCAPTCHA).

3. How We Use Information

We use the information we collect to:

• Provide, operate, and maintain the conversion service and your dashboard account
• Process payments, issue invoices, and meet our tax and accounting obligations
• Send transactional emails (order updates, previews, deliverables) and, where you have opted in, follow-up notifications
• Detect, prevent, and respond to fraud, abuse, and security incidents (including via reCAPTCHA scoring)
• Analyze usage to debug, improve, and develop new features for the Service
• Respond to your inquiries and provide customer support
• Comply with legal obligations, including Japanese Qualified Invoice Issuer record-keeping requirements

4. Legal Bases for Processing

If you are located in the European Economic Area, the United Kingdom, or another jurisdiction with similar laws, we rely on the following legal bases to process your personal information: (a) performance of a contract with you, when processing is necessary to deliver the Service you have requested; (b) legitimate interests, where processing is necessary to operate, secure, and improve the Service and is not overridden by your rights; (c) consent, for non-essential cookies, analytics, and marketing communications, which you may withdraw at any time; and (d) compliance with legal obligations, such as tax and accounting record-keeping.

5. Sharing and Third-Party Processors

We do not sell your personal information. We share information only with service providers we use to operate the Service, and only to the extent necessary for them to perform their functions. Our current processors include:

• Vercel — hosting and content delivery for the marketing site, dashboard, and serverless API endpoints
• Stripe — payment processing, billing, and invoicing
• Google Analytics 4 and Google Tag Manager — usage analytics and tag management
• Google reCAPTCHA — bot detection and abuse prevention on forms
• Google Workspace (Gmail) — transactional and support email delivery

We may also disclose information when required by law, in response to valid legal process, or where we believe in good faith that disclosure is necessary to protect our rights, the safety of users, or the integrity of the Service. In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to the terms of this Privacy Policy.

6. Data Retention

We retain account and order data for as long as your account is active, and afterwards for the period required to meet our legal, tax, and accounting obligations (including Japanese invoice record-keeping requirements, which generally require retention of invoice records for several years). Conversion artifacts (source ZIPs, intermediate files, generated WordPress theme packages) are retained for the period needed to deliver the Service to you and a reasonable grace period thereafter, after which they may be deleted. You may request earlier deletion at any time as described in Section 8.

7. International Transfers

Utsubo Co. is based in Japan. The processors listed in Section 5 operate globally, so your information may be processed in countries other than your own, including the United States, the European Union, and Japan. Where required by applicable law, we rely on appropriate safeguards (such as our processors' Standard Contractual Clauses or equivalent mechanisms) to protect personal information transferred internationally.

8. Your Rights

Depending on your location, you may have the right to: access the personal information we hold about you; correct inaccurate information; request deletion of your information; request portability of your information in a structured format; object to or restrict certain processing; and withdraw consent for processing based on consent. To exercise any of these rights, please email support@wpproconverter.com. We will respond within the timeframes required by applicable law. Note that some information must be retained to meet legal obligations (such as tax records) and cannot be deleted on request.

9. Cookies and Tracking

We use cookies and similar technologies in three categories: essential cookies required for authentication and dashboard functionality; analytics cookies set by Google Analytics 4 and Google Tag Manager to measure usage; and security cookies set by Google reCAPTCHA to detect automated abuse. Most browsers allow you to refuse or delete cookies through their settings, and you may opt out of Google Analytics by installing the Google Analytics opt-out browser add-on. Disabling essential cookies may prevent parts of the Service from working correctly.

10. Children's Privacy

The Service is not directed to children under the age of 16, and we do not knowingly collect personal information from children. If you believe that a child has provided personal information to us, please contact us at support@wpproconverter.com and we will take steps to delete that information.

11. Security

We implement reasonable technical and organizational measures designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. However, no method of transmission over the internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security. If you have reason to believe that your interaction with us is no longer secure, please notify us immediately at support@wpproconverter.com.

12. Changes to This Policy

We reserve the right to modify or replace this Privacy Policy at any time at our sole discretion. If a revision is material, we will provide reasonable notice prior to the new policy taking effect by posting the updated Privacy Policy on this page and updating the "Last updated" date. Your continued use of the Service after the effective date of the revised Privacy Policy constitutes your acceptance of the changes.
